What it fixes
A booking is not a held estimate. When a homeowner books and then does not answer your call, the lead is lost and the slot sits empty. We map every message between the booking and the visit and write each one to fit its stage: a confirmation, two reminders and a reschedule reply. Each line is true and short. We count held calls and held estimates, never bookings or sends.
What the research says
- 11%
Across 10 hospital outpatient studies, reminders raised attendance about 11% over no reminder. Same no-show logic applies to booked estimates, with less certainty.
Journal of Hospital Management and Health Policy, Systematic review and meta-analysis of appointment reminders for enhancing hospital attendance (2026) - 79%
Four in five Americans read a text within 15 minutes. A text confirmation reaches your customer while the booking is still fresh.
EZ Texting, EZ Texting Survey: Majority of Americans Read and Respond to Text Messages Within 15 Minutes (2021) - 8 in 10
Eight in ten Americans do not answer calls from unknown numbers. A text from your business is more likely to be seen than a call.

See it in action
Our Plano landscaping estimates get booked, but often nobody answers when our estimator calls. What should we text?
A stage map sets each event, lead time and CRM trigger. For each stage you get a confirmation, two reminders and a reschedule reply, all marked DRAFT, each two or three short lines. A test plan changes one wording, with held visits over due visits as the measure and opt-outs as the guardrail. The launch checklist lists the approvals and the readback steps.

How it runs in a larger operation
Across branches, a held appointment is the number that counts. Texts and emails follow the call stage in the CRM, and each branch has its own lead times and reply owners. Leadership sees held calls and visits per location every week.
- Message timing set by CRM stage, not by hand
- Reply owner named for every branch
- Held visits measured weekly by location
