The short answer
The best AI tools for business start with one general assistant on a business plan, chosen by the software you already run.
Microsoft 365 companies look at Copilot Business, Google Workspace companies test the Gemini already in their plan, and the rest compare Claude Team and ChatGPT Business.
Add a tool for a job only when a named person owns a number it should move. In IBM's 2025 CEO study, only 25 percent of AI initiatives delivered expected ROI.

The five lessons
Read these if you read nothing else.
- Buy one general assistant on a business plan first. It covers writing, analysis and research for every team.
- Pick it by the software you already run: Microsoft 365, Google Workspace or neither.
- Add a tool for a job only when a named person owns a number it should move.
- Check the data rule on the vendor's own page before anyone pastes in customer or finance data.
- Cancel at renewal any tool that has not moved its number in 60 days.
What do the studies say about AI returns?
Adoption is wide and returns are uneven. Newest first. The Census figure comes from a federal business survey. The two returns studies are surveys of executives, so they report what leaders say, not audited results.
- 19.8%of US businesses use AICensus Bureau, May 2026
- 37%of firms with 250 or more employees use AICensus Bureau, May 2026
- 60%of companies report minimal gains from AIBCG, September 2025
- 25%of AI initiatives delivered the expected ROIIBM, May 2025
See the samples behind these numbers
| Finding | Sample | Source |
|---|---|---|
| 19.8 percent of US businesses used AI in any business function. 37 percent of firms with 250 or more employees | Business Trends and Outlook Survey, data collected December 14, 2025 to May 3, 2026 | US Census Bureau, May 2026 |
| 60 percent of organizations report minimal revenue and cost gains from AI | Global survey of 1,250 senior executives and AI decision makers (a survey, not a measurement) | BCG, September 2025 |
| Only 25 percent of AI initiatives delivered expected ROI, and 16 percent scaled enterprise wide | 2,000 CEOs surveyed worldwide, 2025 | IBM Institute for Business Value, May 2025 |
- The pattern is the same in both returns studies. Many companies buy AI, and few can show what it paid back.
- That is a reason to buy fewer tools and attach each one to a number, not a reason to wait.
Which AI should my company pay for first?
Pay for one general assistant on a business plan, and choose it by what your team already uses all day. The assistant that sits inside your email, documents and calendar gets used. The one in a separate tab gets forgotten. Here is my pick by situation.
Prices are per user, as of November 2026, from each vendor's own page. Vendors change them often, so check before you buy.
If you run Microsoft 365
Microsoft 365 Copilot Business
$18
Paid yearly. First-year promotion from $21, ends December 31, 2026. $25.20 billed monthly. An add-on to your plan. Microsoft
- Your data
- Prompts and responses do not train the underlying models.
If you run Google Workspace
The Gemini already in your plan
Included
In Business Standard. Test it before you pay for anything else. The price varies by country. Google
- Your data
- Company data in Gemini chat does not train models.
If you run neither
Claude Team or ChatGPT Business
$20
Each, billed yearly. $25 billed monthly. Claude Team fits 2 to 150 seats, ChatGPT Business 2 to 200. Test both with ten people for two weeks. Claude, ChatGPT
- Your data
- Both list no training on your business content by default.
What should I buy by job? Our operating rule
These cards are our operating rule, not survey data. It says what to buy first for each job, what to check on the data, and the one number that proves it pays.
Job 1
Write and analyse
- Buy first
- The general assistant above
- Data rule
- Use the business plan, never personal accounts
- Proof it pays
- Hours saved each week on one named report
Job 2
Meetings
- Buy first
- The notes feature of your meeting tool
- Data rule
- Ask where recordings live and who can read them
- Proof it pays
- Days from meeting to sent follow-up
Job 3
Customer service
- Buy first
- The AI inside your help desk
- Data rule
- Customer data stays in the help desk's business plan
- Proof it pays
- First reply time and share closed without a person
Job 4
Sales follow-up
- Buy first
- The AI inside your CRM
- Data rule
- Contact data stays inside the CRM
- Proof it pays
- Speed to lead and held calls
Job 5
Finance documents
- Buy first
- The general assistant, with approved files only
- Data rule
- No bank or tax files until your accountant approves
- Proof it pays
- Days to close the books
Job 6
Code
- Buy first
- The assistant inside your engineers' editor
- Data rule
- Source code leaves only under a business plan
- Proof it pays
- Cycle time from ticket to release
When should I cancel an AI tool?
Set the kill rule on the day you buy, not after the bill grows. This is our operating rule.
- Name one owner and one number before the first seat is bought.
- Record the number before the tool starts, so there is a baseline.
- Set the bar in advance, for example a 20 percent cut in time on the named task.
- Review at 60 days. If the bar is missed, cancel at the next renewal.
- Remove any seat that has not been used in 30 days.
What to do this week
Example: 20 seats at $20 cost $400 a month, or $4,800 a year. The seat price is small. The cost that matters is the person-hours spent without a number. For choosing a partner, see how to choose an AI consultant. For budgets, see AI implementation cost.
- CEO: list every AI tool the company pays for and who uses it.
- COO: mark each tool as general assistant or job tool, and name its number.
- IT lead: read each vendor's data page and record the training and storage rule.
- Department heads: pick ten people for a two week test of one assistant.
- CFO: set the 60 day review date and the cancel bar for every tool.
Next step
If you cannot name the number a tool should move, the constraint is not the tool. The diagnostic finds the one stage that limits revenue, and then AI goes where it helps. For setup, see AI implementation. For who owns the result, read chief AI officer.
Questions leaders ask
What is the best AI for business?
For most companies, the one that sits inside the software the team already uses: Copilot Business for Microsoft 365, Gemini for Google Workspace. Companies on neither can compare Claude Team and ChatGPT Business with a two week test on real work.
How much does a business AI assistant cost per user?
As of November 2026, Claude Team and ChatGPT Business both list $20 per seat a month billed annually and $25 billed monthly. Microsoft 365 Copilot Business lists $18 per user a month paid yearly as a first-year promotion, added to your existing plan.
Is my company data used to train the AI?
On business plans, the vendors say no by default. Claude and ChatGPT both state it for their business plans. Microsoft says prompts and responses do not train its underlying models. Google says the same for company data in Gemini chat. Read the current page before you buy.
How many AI tools should a company pay for?
